HR & Payroll for Canada
Canadian HR and payroll software for mid-market teams
AThe short answer
Workzoom is Canadian HR and payroll software for mid-market organizations with 50 to 5,000 employees, 100% Canadian-owned and founder-led, headquartered in Toronto with a continuous Canadian payroll lineage since 1974. As HRIS Canada and CRA-compliant payroll software, one employee record runs HR, payroll, workforce, and talent across every Canadian province. T4, ROE, CPP, EI, and provincial taxes calculate automatically every pay run; CRA and Service Canada e-filing is native for T4 and ROE, with a small number of provincial WCB and statutory filings available via an integration partner. A Canadian implementation team that knows CRA, ROE, and provincial rules sets you up. Used by 400+ Canadian organizations including County of Renfrew, Catholic Children’s Aid Society of Toronto, and County of Brant.
01The platform
Four suites built for Canadian employers.
One employee record. Every Canadian province.
Centralize HR for 50 to 5,000 employees across all 13 provinces and territories. Digital files, position-based org structure, bilingual English and French self-service, and Canadian data residency. Built and supported in Toronto since 2000.
- Centralized employee records with document storage
- Organizational charts and reporting hierarchies
- Bilingual interface (English and French)
- Complete audit trail for compliance documentation
Head office in Toronto, operations in Calgary, teams across the country. See your entire workforce from one dashboard regardless of province.
Schedules, time, and leave with provincial labour rules built in.
Real-time attendance visibility across every shift and department. Provincial labour standards and overtime calculations run on every entry. Web, mobile, and biometric time options for multi-location operations from 50 to 5,000 employees.
- Scheduling with shift coverage and availability tracking
- Time clocking via web, mobile, or biometric devices
- Leave management with provincial entitlements
- Overtime visibility before it impacts payroll
Alberta handles statutory holidays differently than Ontario. Quebec has distinct parental leave rules. Workzoom applies the correct provincial entitlements automatically.
CRA payroll. T4, RL-1, and ROE ready to file.
Federal and provincial tax tables for every jurisdiction. CPP, CPP2, and EI calculated every pay run. T4 generation, Quebec RL-1 preparation, and Service Canada ROE files ready to submit, all native to the platform. The engine behind 217,000+ paycheques annually for multi-province Canadian employers.
- CPP and CPP2 contributions calculated automatically
- EI premiums at current rates for every pay run
- T4 slip generation, ready to file with the CRA
- ROEs prepared for electronic submission to Service Canada
County of Renfrew improved payroll accuracy and processing speed by 40%, with their payroll administrator testing every configuration during implementation.
Performance, learning, and succession on the same record.
Track certifications, run performance reviews, and plan succession on the same employee record that drives payroll. One platform for every workforce decision, hire to retire.
- Training records linked to employee profiles
- Certification tracking with expiry alerts
- Performance reviews with goal alignment
- Succession planning and talent assessment
County of Renfrew onboarded 32 new hires in their first 3 months on Workzoom, with digital onboarding replacing manual paperwork entirely.
02Inside the platform
What Canadian employers run on Workzoom.
Employee self-service, admin dashboards, timesheets, and reports. One login covers the entire team, on any device.

Admin Dashboard
Headcount, turnover, and workforce trends update in real time. Your HR team sees the entire Canadian operation on one screen, with every location rolled up automatically.

Organization Chart
The chart maps positions, not people. When someone leaves, the role stays in place along with the certifications and compliance requirements attached to it. Reorganizations stop being chaos.

Timekeeping
Employees clock in from the web, their phone, or a biometric device. Hours flow straight into payroll with overtime already calculated, so the pay run runs without surprises.

Leave Management
Requests come in from a phone, managers approve in a tap, and balances update everywhere at once. By the time payroll opens, accruals and deductions are already reconciled.

Payroll Financial Reports
Pay run summaries, deduction breakdowns, and remittance totals live in one report. Every line ties back to a calculation, and every calculation ties back to a record. Built for the way finance teams actually audit.

Benefits Administration
Enrollment, coverage, and plan management share the same employee record that runs payroll. The moment someone enrolls, deductions are already wired in. No duplicate entry, nothing to reconcile later.
Which Canadian banks does Workzoom support for direct deposit?
Workzoom generates the direct-deposit file for every payroll run in the Payments Canada EFT standard (CPA Standard 005). Because that is the format every Canadian bank and credit union accepts, the file reaches any institution your employees use, not only the ones listed here. Net pay moves straight from your account to your employees’ accounts. Workzoom never holds, pools, or impounds the money.
- RBC Royal Bank
- TD Canada Trust
- Bank of Nova Scotia
- BMO
- CIBC
- National Bank of Canada
- Desjardins
Have a bank not listed here, or one with custom file requirements? Tell us your bank and we will confirm the setup before your first pay run.

It includes three portals: an admin portal for HR teams, a manager portal for supervisors, and an employee self-service portal for staff. Core includes recruiting, onboarding, personnel records, organizational charts and position management, compensation management, employee engagement surveys, document storage with e-signatures, and reporting and analytics. All other suites build on top of Core.
Talent Suite (optional, +$4 per employee per month)

Workforce Suite (optional, +$4 per employee per month)
Drag-and-drop employee scheduling with shift templates, timekeeping with web, mobile, kiosk, biometric, and facial recognition clocking, and time off management with balance tracking, approval workflows, and team calendar views.
Payroll Suite (optional, +$4 per employee per month)

Complete Platform ($16 per employee per month)
All four suites combined. For a 200-employee company, the complete platform costs $3,200 per month. For a 500-employee company, it costs $8,000 per month. Annual prepayment saves 5%, and non-profit organizations receive an additional 5% discount.
Discounts available
Annual prepay discount: 5% off when billed annually instead of monthly. Non-profit discount: 5% off for registered non-profit organizations. These discounts stack for a combined savings of approximately 9.75%. Example: a 200-employee non-profit on annual billing pays approximately $34,668 per year instead of $38,400, saving $3,732 annually.
What is included at no extra cost
Implementation and setup, data migration from existing systems (spreadsheets, other HRIS, payroll providers), training for administrators and end users, ongoing customer support, and all future software updates and new features. There are no per-payroll-run fees, no per-report fees, and no per-user license fees beyond the per-employee pricing.
Minimum monthly fees
For very small organizations, minimum monthly fees apply: $400 per month for 1 suite, $500 for 2 suites, $600 for 3 suites, $700 for all 4 suites. These minimums only affect organizations with fewer than 100 employees.

06How it works
What running payroll in Canada actually requires
13 provinces and territories, CPP2 changes, EI rate updates, and ROE submission requirements make specific demands of the system behind the payroll run.
Single database. No sync required.
HR, Workforce, Payroll, and Talent share one employee record. When a rate changes in HR, payroll reads it immediately. No sync job between modules, no reconciliation step.
13 provincial tax tables, maintained automatically.
Federal and provincial income tax is calculated across all provinces and territories. Tax tables update when CRA publishes changes. No manual table entry.
CPP, CPP2, and EI at current rates.
CPP at 5.95% on pensionable earnings to the $74,600 YMPE, CPP2 at 4% between the YMPE and the $85,000 YAMPE, and EI at 1.63% on insurable earnings to the $68,900 maximum. All rates update automatically when CRA publishes changes.
Data hosted in Canada, governed by Canadian law.
All data is hosted on Canadian servers operated by Nortek Solutions Inc. in Toronto. PIPEDA requirements met with no routine cross-border data transfers for Canadian clients.
07b Statutory rates
Statutory payroll rates for Canada
Current employee and employer contribution rates, ceilings, and thresholds set by the issuing authority. Workzoom configures and maintains these rates in the platform, reviewed quarterly and on every statutory change, so payroll runs use the current values.
| Contribution | Rate | Year | Source | Notes |
|---|---|---|---|---|
| CPP employee contribution rate | 5.95% | 2026 | CRA | YMP: $74,600 · YAMPE: $85,000 |
| CPP2 second-tier contribution rate | 4% | 2026 | CRA | YAMPE: $85,000 |
| EI employee premium rate | 1.63% | 2026 | CRA | MIE: $68,900 |
| EI employee premium rate (Quebec) | 1.30% | 2026 | CRA | |
| QPP employee contribution rate (Quebec) | 6.30% | 2026 | Revenu Québec | |
| QPIP employee premium rate (Quebec) | 0.430% | 2026 | Revenu Québec |
Verified May 19, 2026 against the issuing authority for each line. Rates change. If you spot a discrepancy, contact us and we will update within one business day.
