01The model

This is your project. We're your partner.

Your team stays in control: you set the priorities, control the pace, and make the decisions. We bring the product knowledge and the working sessions.

You decide
You set the objectives, allocate your team's time, and make the calls that fit your business. We guide with best practices. The decisions stay yours.
You build it
From day one you are hands-on in the system. You shape it, test it, and learn to run it, so your team is self-sufficient long after go-live.
We coach, not consult
Your coach facilitates and shares what works. They rely on your internal experts for the decisions, because only you know your business.

02Roles and responsibilities

Who owns what.

Onboarding works because the responsibilities are clear from day one. Here is the split.

Workzoom brings
  • A dedicated Liaison and Coach
  • Orientation so your team learns the system early
  • Questionnaires to capture your policies and processes
  • Data import, one or two rounds, from your spreadsheets
  • A sandbox with your real records to test in
  • Hands-on training, guides, and working sessions
  • A production environment when you are ready to roll out
You own and decide
  • Leadership to sponsor the project and set objectives
  • Project management, roughly one to two hours a week
  • Your business expertise: the rules, processes, and goals
  • Well-structured data in the spreadsheets we provide
  • Validating that your data is accurate and complete
  • Validating that the configuration does what you need
  • Internal documentation and the roll-out to your people

Your coach facilitates and relies on your experts to decide. It is coaching, not consulting.

03Your time

Calendars fill up fast. Make the time.

Setup is focused working sessions plus the work your team does in between. The pace follows the time you put in.

1-2 hrs/wk
Project management to keep your team on track
Under 30 min
To complete each module questionnaire
Between sessions
Your team tests and validates the setup in the sandbox
Prepared
On time and ready to build at every working session

Working sessions are for building, not status updates. Your Liaison and Coach answer questions inside your sessions rather than over email, so every client gets the same focus. Sessions that get skipped or treated as optional are the fastest way to slow a rollout down.

04Module effort

Not every module takes the same effort. Be honest about yours.

Onboarding runs in up to three streams depending on your modules. Some are ready in hours, others need real working sessions. Knowing where yours land keeps your timeline realistic.

Stream 1
Self-adoption
Ready to go after orientation and data validation. Your Liaison answers questions, then you deploy at your own pace.
  • Personnel
  • Organization
  • Engagement
  • Safety
  • Learning
  • Career Planning
  • Succession
Stream 2
Guided option selection
You pick from defined options. Your Liaison uses your questionnaires to fine-tune the setup in quick sprints, and you validate it in your sandbox.
  • Recruiting
  • Onboarding
  • Performance
  • Expenses
  • Payroll Filings
  • Scheduling (simple)
Stream 3
Collaborative fitting
The complex areas. You work directly with a Coach in focused sprints: joint fitting sessions, real data loads, and parallel payroll runs until the numbers match.
  • Time Off
  • Timekeeping
  • Scheduling (dynamic)
  • Benefits
  • Pay Processing
  • Pay Structure

05Timeline

How long it really takes.

Sprints run one to four weeks, each with a specific outcome. Many clients reach their goals in a single sprint. The pace is set by your team's effort, not by us.

Focused involvementThe more concentrated your team's time, the quicker the progress.
Knowing your own policiesBeing clear on how your business runs speeds up every decision.
Clear objectivesWell-defined goals give the project direction from the start.
The questionnairesEach one shows the effort a module involves, so you can plan realistically.

06Best practices

Set yourself up to win.

A few habits separate the rollouts that fly from the ones that stall.

01
Build momentum

Consistent engagement is what drives a project forward. Regular sessions plus focused effort in between beats long gaps every time.

02
Rocks before sand

Solve the big objectives first. The fine details have their place, but they come after the system fits the way you work.

03
Don't stack big changes

Re-orgs, new systems, and union negotiations are best handled outside the project. Too much change at once is hard to validate and hard to absorb.

04
Stay in scope

New ideas will surface as you explore. Note them, finish your original goals, then revisit the extras after go-live.

05
Plan for your team

Large teams need clear communication channels, cross-training, and internal documentation so a single absence does not stall progress.

06
Mind your pay cadence

How often you run payroll affects your parallel timing. Weekly leaves little room to validate. Monthly means a missed window costs a month. Plan for it.

07Included

Everything from kickoff to go-live. Included.

Implementation, migration, training, and support are part of your subscription. There is no separate implementation invoice and no setup fee.

Dedicated coach
The same person from kickoff through go-live and beyond. No handoffs, no ticket queues.
Data migration
We map and import your employee records, pay history, and balances from your spreadsheets or previous system.
Sandbox environment
A full testing environment with your real data, so you can build and validate before anything goes live.
Parallel payroll runs
Run alongside your current system and compare results until the numbers match. County of Renfrew onboarded 32 people in 3 months with zero paper.
Hands-on training
Your coach walks your team through real workflows with your data, backed by guides, videos, and in-app help.
Support with no time limit
Monday to Friday, 9am to 5pm ET. The same team that implements you answers your questions after go-live. No ticket queue, no tiers.

08After go-live

Go-live isn't the end. It's the start.

You lead the roll-out to your organization: the timing, the change management, the rhythm. We help you get the system ready, then you take it from there. A phased launch or a full-scale one, your call. We help you assess readiness and prepare your teams either way.

After go-live, support is included with no time limit. Your scheduled coaching sessions taper off, but your Liaison and Coach stay part of your support network for escalations, planning, and new training.

For major releases, you get sandbox access to test changes against your own configuration before they reach your team. When you add a location or change a policy, the same team is there.

09Implementation questions

What teams ask before kickoff.

It depends on scope and effort. Sprints run one to four weeks, each delivering a specific outcome. Many clients go live in a single sprint, and larger or more complex rollouts take a few more. Northern Sunrise County processed their first payroll in under three months. County of Renfrew onboarded their team in three months with zero paper. The biggest factor is the time your team commits.
Plan for a project manager to spend roughly one to two hours a week keeping the team on track. Each module questionnaire takes under thirty minutes, completed by the people who know that process. On top of that, your team tests and validates the setup in the sandbox between working sessions. The more focused that time, the faster you reach go-live.
Workzoom brings a dedicated coach, orientation, questionnaires, data import, a sandbox, training, and your production environment. You own the decisions: leadership and objectives, your business rules, well-structured data, validating that data and the configuration, internal documentation, and the roll-out. Your coach facilitates and relies on your experts to decide. Only you know your business, so the calls that shape the system are yours.
Working sessions are focused, hands-on time with your Liaison or Coach to build and validate your setup, not status meetings. You map pay codes, adjust leave rules, define pay cycles, and test the results together in your sandbox. Questions get answered inside the session rather than over email, so every client gets the same focus. Coming prepared keeps each session productive and your timeline on track.
No. Some modules are ready to use after orientation, like Personnel and Engagement. Others let you pick from defined options in quick sprints, like Recruiting and Onboarding. The complex areas, such as Time Off, Benefits, and Pay Processing, need collaborative fitting: joint sessions, data loads, and parallel runs. Being honest about where your modules land keeps your timeline realistic from the start.
Your coach guides the configuration and may handle small changes in low-touch areas, but the goal is for your team to build and own the system. You stay hands-on so you can manage and adapt it long after go-live. The coach brings best practices and product expertise. The decisions that reflect your business stay with your internal experts. It is coaching, not consulting.
