Decide who will do the payroll work

A payroll engine, an integrated HR platform and a managed payroll service can all produce pay, but they leave different tasks with your team. Have vendors assign an owner to every step before comparing prices. A product described as native payroll still needs a precise agreement on filing and money movement.

  • Payroll software: your team reviews inputs and approves the run. Confirm the calculation, filing and payment steps the purchased package performs.
  • Connected HR, time and payroll: evaluate whether hires, pay changes and approved hours reach payroll without re-entry, including corrections after approval.
  • Managed payroll: specify which provider tasks are included, your approval deadlines, backup coverage and how errors are resolved.

What Canadian payroll functions should you test?

Use your actual provinces and pay groups to build the acceptance checklist. The CRA payroll guidance and Revenu Québec employer guidance are the authority for deductions and reporting. A vendor's marketing claim is not a substitute for checking sample results.

Quebec needs its own test cases. The RL-1 is an additional provincial reporting workflow, not a replacement for the T4. The Government of Canada slip examples explain the distinction. Calculate annual cost using your pay calendar. Per-run pricing changes with weekly, biweekly, semimonthly and off-cycle runs. Per-employee pricing can still have base fees, suite requirements or monthly minimums. Include year-end, implementation, bank charges, support and any separate timekeeping subscription in the written comparison.
