02How it compares

What mid-market HRIS actually costs.

Three years, 200 employees, all four suites. Sticker price is one number. What you pay after setup fees, migration, training, and annual hikes is another. Here is the all-in bill.

Workzoom is the only vendor here where year three costs the same as year one. No setup fee, no migration invoice, no annual hike.

What others invoice separately, included at $0 with Workzoom
  • Implementation and setup$15,000 to $50,000
  • Data migration from your existing HRIS$5,000 to $15,000
  • Admin and end-user training$2,000 to $10,000
  • Named implementation coachPremium-tier upgrade
  • Custom reports and dashboards$500 to $2,500 each
  • SAML SSO and audit logsEnterprise add-on

Modeled at 200 employees, all four suites, over three years. Workzoom's figure is its published rate; competitor ranges are quote-based estimates that include typical setup, migration, and implementation fees.

How these figures are sourced

BambooHR and Gusto use published list pricing. ADP and Dayforce do not publish pricing, so their ranges are quote-based estimates drawn from Caribbean and Canadian RFP responses observed 2024 to 2026. Send your real headcount and country mix for a vendor-specific total cost.

How payroll works

Three ways to run payroll with Workzoom.

Run the full cycle inside Workzoom in the Bahamas, Canada, and the United States. Anywhere else, calculate payroll to gross and export your time and leave data to feed your existing payroll, or keep the payroll you already trust and feed it from Workzoom. You choose the model, and your team runs it. Workzoom is the software, not a payroll service.

01 / Full payroll

You run the full cycle

You run full gross-to-net payroll in Workzoom: statutory tax calculations, direct deposit files, and year-end forms, all from the same database as your HR and time data.

Canada, the United States, and the Bahamas.

02 / To-gross and export

Calculate to gross, export to your payroll

Outside the Bahamas, Canada, and the United States, Workzoom calculates payroll to gross and exports your time and leave data so you can bring it into your existing payroll. Full gross-to-net for these markets is on our roadmap, so raise it with us if it matters.

Every country outside our three live payroll markets.

03 / Keep your own payroll

You export, Workzoom never touches your engine

Already have a payroll system you trust, or industry-specific pay rules you will not move? You run period processing in Workzoom and export your time, leave, and compensation for import into your existing payroll. More hands-on, and it keeps you on the platform you chose.

Any client with a specialised or finance-specific payroll.

03Pricing principles

Pricing built to be easy to compare.

Most HR software pricing is built to be hard to compare. Tiers that change, modules that move, fees that show up after the contract. We made four decisions about how Workzoom HR software pricing works. They aren't accidents, and they hold whether you are evaluating us against Dayforce, ADP Workforce Now, or a BambooHR plus Gusto stack on HR and payroll software cost.

01 One rate

Why is every suite the same $4?

Different rates per suite would mean the rate is about which one we want to sell harder this quarter, not about the platform. One price across HR, Payroll, Workforce, and Talent keeps the math honest.

02 Included

Why are there no setup fees?

Setup fees exist when a vendor wants to profit before you go live. We share the risk instead: we don't break even on day one, we earn it over the life of the partnership. You stay the master of your data, we stay the master of Workzoom, so getting you live is our job, not your invoice. Implementation, migration, training, and your named coach are all in.

03 Month-to-month

Why is there no long-term contract?

Lock-in contracts exist when vendors don't trust the customer to want to stay. We do. Month-to-month by default, 5% off annual prepay, 10% off three-year, non-profits stack another 5%.

04 Same rate

Why is there no enterprise tier?

"Enterprise: contact us" is a polite way of saying "we'll quote you a number you can't compare." A 200-employee team and a 2,000-employee team pay the same $4 per employee per suite. Your CFO can model three years on a spreadsheet without a sales call.

Hosting

AWS hosting in Canada

Hosted on AWS in ca-central-1 (Montreal) with multi-AZ redundancy. Isolated database schemas per client. AES-256 encryption at rest, TLS 1.2 in transit. Your data never touches another organization's.

Access control

Audit-grade access controls

SAML 2.0 SSO with Azure AD, Okta, and OneLogin. SCIM 2.0 user provisioning. MFA at the IdP. Field-level role-based access. Immutable audit logs with 7-year retention, exportable to CSV or REST API. Every change is dated and attributed.

Implementation

Named implementation team

Same coach from kickoff through go-live and beyond. Implementation, data migration, and training included at no extra cost.

06Common questions

Pricing questions

Answers HR teams ask before they sign. Anything else, ask us directly.

Workzoom HR software pricing includes everything other vendors charge separately for. Implementation coaching with a named coach from kickoff to live, data migration from your existing HRIS or payroll provider, admin and end-user training, ongoing customer support, all future product updates, and year-end tax form generation (T4, W-2, ROE). There are no per-payroll-run fees, no per-report fees, no per-user license fees, and no implementation invoice waiting after the contract is signed.

No. Many Workzoom clients start with one or two suites and add the others as needs evolve. HR software pricing is modular at $4 per employee per suite per month (CAD in Canada, USD elsewhere), so you only pay for what you use. Island Luck started with Payroll and the Workforce suite for Timekeeping, then expanded. County of Renfrew started with HR and Recruiting. Existing clients adding a suite later pay $2 per employee per month for the addition, half the new-deal rate.

No setup fees and no long-term contracts. Implementation, data migration, and training are included in the monthly per-employee fee, not billed separately like at Dayforce or ADP Workforce Now where setup runs $5,000 to $50,000. Workzoom is month-to-month by default, with a 5% discount available if you prefer annual billing. Nonprofits save an additional 5%. You can cancel anytime without penalty. Lock-in contracts exist when vendors do not trust the customer to want to stay.

Yes. Three posted discount programs stack. Annual prepay billing earns 5% off the monthly rate. Three-year prepay billing earns 10% off the monthly rate. Non-profit organizations receive an additional 5% discount that stacks with either prepay term. A 200-employee non-profit with all four suites on three-year prepay saves roughly 14.5% combined, dropping the effective rate from $16 per employee per month to approximately $13.68. There are no volume tiers, hidden discounts, or sales-negotiated rates beyond these three posted programs.

Workzoom costs $400 per month for 100 employees on the HR Suite only (100 employees × $4 per employee per month; CAD in Canada, USD elsewhere). Two suites is $800, three suites is $1,200, and the full HRIS platform (all four suites: HR, Payroll, Workforce, Talent) is $1,600 per month for 100 employees. Annual prepay drops the all-suite cost to $18,240 per year (5% off). Non-profits stack another 5% multiplicatively for a combined 9.75% discount, bringing the annual all-suite cost to $17,328. Implementation, data migration, training, and ongoing support are included.

Canadian customers are billed in CAD; United States, Bahamas, Caribbean, and all other markets in USD. The published list rate is $4 per employee per month per suite in either currency ($16 per employee per month for all four suites). Monthly minimums ($400 to $700) apply in your billing currency for teams under 100 employees. Use the CAD/USD toggle in the calculator above, or open pricing in CAD / pricing in USD.

Larger vendors typically charge $8 to $25 per employee, add setup fees of $5,000 to $50,000, and rotate support teams on a ticket basis. Workzoom publishes pricing upfront at $4 per suite per employee, includes implementation, and assigns the same support team from kickoff onward through go-live and beyond. See our Dayforce and BambooHR comparison pages for detailed breakdowns.

Workzoom HR software implementations typically take 4 to 8 weeks depending on complexity. Mid-Wilshire HCC went from contract to full payroll automation in one month. Your dedicated implementation coach handles data migration, system configuration, payroll mapping, and administrator training. The same person stays with you from kickoff through go-live and into ongoing support. There is no handoff between teams, which is why our HR and payroll software cost includes implementation rather than billing it separately.
