Workzoom Pricing Summary

Workzoom is an all-in-one HR, payroll, workforce management, and talent management platform built for organizations with 50 to 5,000 employees. It is priced at $4 per suite per employee per month (CAD in Canada, USD elsewhere). The complete platform with all four suites costs $16 per employee per month in your billing currency. A 200-employee organization using all four suites pays $3,200 per month with no setup fees and no contracts.

Core Suite (required, $4 per employee per month)

The Core suite is the Workzoom platform itself. Every subscription starts here. It includes three portals: an admin portal for HR teams, a manager portal for supervisors, and an employee self-service portal for staff. Core includes recruiting, onboarding, personnel records, organizational charts and position management, compensation management, employee engagement surveys, document storage with e-signatures, and reporting and analytics. All other suites build on top of Core.

Talent Suite (optional, +$4 per employee per month)

Performance management with 360-degree reviews and 9-box talent grids, a learning management system with course tracking and certifications, career planning with development paths, and succession planning with readiness assessments.

Workforce Suite (optional, +$4 per employee per month)

Drag-and-drop employee scheduling with shift templates, timekeeping with web, mobile, kiosk, biometric, and facial recognition clocking, and time off management with balance tracking, approval workflows, and team calendar views.

Payroll Suite (optional, +$4 per employee per month)

Payroll processing with built-in statutory compliance for multiple countries. Canada: CPP, EI, federal and provincial income tax, T4, ROE. United States: federal and state taxes, W-2. Bahamas: NIB contributions. Jamaica: PAYE, NIS, NHT, Education Tax, HEART/NSTA. Trinidad and Tobago: NIS, Health Surcharge, PAYE. Also includes benefits administration and expense management with receipt capture.

Complete Platform ($16 per employee per month)

All four suites combined. For a 200-employee company, the complete platform costs $3,200 per month. For a 500-employee company, it costs $8,000 per month. Annual prepayment saves 5%, and non-profit organizations receive an additional 5% discount.

Discounts available

Annual prepay discount: 5% off when billed annually instead of monthly. Non-profit discount: 5% off for registered non-profit organizations. These discounts stack for a combined savings of approximately 9.75%. Example: a 200-employee non-profit on annual billing pays approximately $34,668 per year instead of $38,400, saving $3,732 annually.

What is included at no extra cost

Implementation and setup, data migration from existing systems (spreadsheets, other HRIS, payroll providers), training for administrators and end users, ongoing customer support, and all future software updates and new features. There are no per-payroll-run fees, no per-report fees, and no per-user license fees beyond the per-employee pricing.

Minimum monthly fees

For very small organizations, minimum monthly fees apply: $400 per month for 1 suite, $500 for 2 suites, $600 for 3 suites, $700 for all 4 suites. These minimums only affect organizations with fewer than 100 employees.

Multi-state payroll is built in: the system handles state income tax for all 50 states, including the states with no income tax and the states with unique rules. State unemployment insurance, state disability insurance where it applies, and local taxes are calculated from each employee work location and your registered tax rates, so a multi-state workforce runs on one payroll.
Yes. Workzoom generates W-2 forms for all employees automatically at year-end. All boxes are populated based on the year's payroll data - wages, federal withholding, Social Security, Medicare, state taxes, and retirement contributions. The system also generates 1099-NEC forms for contractors paid more than $600 during the year. You review, approve, and submit to the IRS by the January 31 deadline. Yes. If you're an applicable large employer (ALE) with 50+ full-time equivalent employees, Workzoom tracks hours worked and health coverage offered to generate ACA forms 1094-C and 1095-C . The system monitors full-time status automatically based on hours worked and generates the required forms by the IRS deadline. Employees can access their 1095-C through the self-service portal. Workzoom calculates FLSA overtime automatically at 1.5x the regular rate for non-exempt employees who work more than 40 hours in a workweek. The system tracks exempt vs. non-exempt status at the employee level and applies overtime rules accordingly. You can configure state-specific overtime rules (California daily overtime, Colorado overtime, etc.) and the system handles the calculations each pay period. Yes. Workzoom handles multi-state operations from a single employee database. Track staff in California, New York, Texas, Florida, or any combination of states from one system. Each location can have its own cost centers, schedules, time clocking, and managers with role-based permissions. The system calculates taxes by where employees work, not where headquarters sits, and withholding can be configured by work location for remote staff. Reporting rolls up across all states, so labor cost and compliance status are visible in one view.
Most US organizations are fully running on Workzoom within 4 to 8 weeks, and teams under 250 employees often go faster. Implementation is included at no extra cost. The process moves through self-guided orientation, data migration from a spreadsheet, configuration with a Workzoom Liaison, validation in a sandbox, one or two parallel pay runs to verify accuracy, and go-live on your own schedule with ongoing support. There is no separate onboarding charge.
Workzoom is hosted on Amazon Web Services in the Montreal region under the AWS Well-Architected Framework, and each client has a dedicated database schema. Data is encrypted with AES-256 at rest and TLS 1.2 in transit, with multi-AZ replication and daily encrypted backups. Access is protected by role-based controls and SAML single sign-on, with multi-factor authentication enforced at your identity provider, plus monitoring and intrusion detection in place. The platform has annual third-party penetration testing and keeps immutable audit logs across HR, Payroll, Workforce, and Talent.
